Contracts

The Office of Academic Affairs, External Relations and Accreditation Services (formerly Academic Operations) creates contracts for both full and part-time faculty members and works closely with Human Resources regarding faculty compensation issues. 

 

Full-Time Annual Faculty Contracts

The Office of Academic Affairs, External Relations and Accreditation Services works with the Vice President for Academic Affairs and Dean of Business and the McCallum Graduate School, the Dean of Arts and Sciences, and Human Resources in the preparation of annual contracts for returning full-time faculty.  Annual contracts are typically mailed by the third week of April and are generally effective July 1.

The Office of Academic Affairs, External Relations and Accreditation Services also prepares contracts for full-time faculty members teaching during winter session and summer sessions if the courses are above the faculty member’s normal teaching load.

 

Contracts for New Full-Time Faculty 

Human Resources prepares contracts for new full-time faculty.  Hiring departments must complete the Full-Time Faculty Appointment Form on the HR Online Employment System. 

 

Contracts for Continuing Part-Time (Adjunct) Faculty

Adjunct contracts are issued each semester (fall, winter, spring, and summer).  Adjunct rates for the upcoming academic year are defined each spring by the Vice President for Academic Affairs.   

Procedures for Processing Continuing Part-Time (Adjunct) Faculty Contracts:

  1. The Office of Academic Affairs, External Relations and Accreditation Services runs an extract of adjunct faculty teaching courses during a semester and works with the Academic Administrative Assistants to ensure last minute changes are reflected.
  2. The Office of Academic Affairs, External Relations and Accreditation Services prepares the contracts and  obtains the Deans’ signatures. 
  3. For fall contracts, Academic Administrative Assistants obtain signatures of adjunct faculty in their department, make a copy of the contracts for their records (if desired) and return the signed contracts to the Office of Academic Affairs, External Relations and Accreditation Services. For spring contracts, the Office of Academic Affairs, External Relations and Accreditation Services will mail contracts directly to adjunct faculty. The Office of Academic Affairs, External Relations and Accreditation Services retains copies and forwards the original signed contracts to Human Resources.

 

New Part-Time (Adjunct) Faculty Process

Hiring departments must complete the Adjunct/DA Appointment Form on the HR Online Employment System. The Office of Academic Affairs, External Relations and Accreditation Services prepares contracts for new adjunct faculty once they have been approved by the Dean.

 

Department Assistants

Hiring departments must complete the Adjunct/DA Appointment Form on the HR Online Employment System.  Human Resources prepares contracts for all Department Assistants.

 

Faculty Load Report

The Faculty Load Report is used by several departments for several different purposes.  The Office of Academic Affairs, External Relations and Accreditation Services uses the Faculty Load Report as an auditing tool to ensure that contracts have been issued to part-time faculty teaching in each department.  We also use the Faculty Load Report to verify loads before paying faculty for internships, or winter and summer courses. Human Resources uses the reports for auditing purposes and to validate faculty counts for the numerous surveys they complete.  Institutional Research uses the report for various purposes as well. 

The Office of Academic Affairs, External Relations and Accreditation Services will typically ask that departments finalize their load reports by 10/15 for the fall and 2/15 for the spring.  We ask that Academic Administrative Assistants work with their department Chairs and review each faculty member’s load.

 

Process for Inviting Paid and Non-Paid Visiting Scholars to Bentley

Sponsoring departments must complete the Other Academic Appointment Form on the HR Online Employment System.  Human Resources prepares contracts for all paid and non-paid Visiting Scholars.
