When should I use the O365 desktops apps vs. the online apps?
The online version of your apps are more limited in their functionality. Many of the basic features are there, so they can be used for quick edits and simple collaboration. More advanced features need to be accessed in the desktop apps (for example – pivot tables in Excel).

How many times can I install Office Pro Plus on my personally-owned devices?
Bentley users who are licensed for Office 365 can install Office 365 ProPlus on up to five personally-owned computers and 5 mobile devices.  If the user decides to install Office 365 ProPlus on a sixth computer, she/he will need to deactivate one of the first five. Office 365 ProPlus goes into reduced functionality mode on the deactivated computer.

Office 365 ProPlus is offered as a subscription. If you leave Bentley University, Office 365 ProPlus goes into reduced functionality mode. In reduced functionality mode, users can open and view existing Office files, but users can't use most of the other features of Office 365 ProPlus.

How does Bentley protect sensitive information from being inadvertently disclosed when using Microsoft applications?
As part of the Office 365 upgrade, Bentley has implemented additional security measures, including Microsoft’s Data Loss Prevention (DLP) .  DLP identifies, monitors, and  protects sensitive information across Office 365 as well Office desktop applications. Bentley has configured DLP to warn you when you are about to share information that Bentley has identified as sensitive.  At some point in the future,  Bentley may configure DLP to prevent you from sharing sensitive information by blocking access to a document or stopping an email from being sent.

What does Bentley deem sensitive information, and why must the University protect it?
Examples of sensitive information held or processed at Bentley University include financial data, personally identifiable information (PII) such as credit card numbers, social security numbers, and/or health records. To comply with business standards and industry regulations, Bentley University must protect sensitive information and prevent inadvertent disclosure.

Can I edit documents simultaneously with other people?
Using the Office 365 online version of Office, you can collaborate and work on documents at the same time as your colleagues. See Microsoft’s "Use Office Online To Work Together" in Office 365 documentation for details.

What happens if I am using Office 365 and I lose my connection to the internet?
If you are using Office 365 via https://portal.office.com and your internet connection happens to drop while you are creating or editing a document, your work will be available as long as you do not close your browser window or restart your computer.  If you need to close your browser window or restart your computer, any changes made to the document since the internet connection was dropped will be lost.  To keep from losing your work, you can copy all of the document content and then paste it into the equivalent Office 2016 application (e.g. Word) on your local computer.  Unlike through the Office 365 portal, Microsoft Office applications installed to your local computer are not dependent upon an internet connection to work and can be used even in times of internet outage without the concern for data loss due to the lack of connection.

How do I change my password?
1.  Log in at https://portal.office.com.
2.  Click the settings icon in the upper right.
3.  Enter your old password and your new password twice (second time to confirm).
4.  Click the green “Submit” button.
